The Challenge

Waymaker started as an in-house Bubble build that covered the basics, but the platform quickly outgrew the internal team as complexity increased. A major blocker was integrations. Waymaker initially tried a unified API approach to connect multiple external systems, but it didn’t provide the flexibility needed for diverse customer requirements at scale. They needed an embedded iPaaS model to simplify integration management directly inside the product.

At the same time, the platform had to solve a broader operational problem: teams were juggling fragmented tools for goals, projects, and documentation. That created inefficiencies, reduced visibility into progress, and made it hard for leaders to spot blockers early. Documentation also became difficult to keep current across multiple contributors, and without integrated analytics, decision-making relied too heavily on manual reporting.

The Solution

Waymaker was designed to tackle these pain points through a range of targeted solutions. The platform enables teams to define and visualize their organizational hierarchy, making role allocation and accountability clear. To allow users to integrate their CRM systems seamlessly, Waymaker transitioned from a unified API approach—which provides a single interface for connecting to multiple external systems—to an embedded iPaaS solution that simplifies integration management within the SaaS platform itself.

Waymaker also supports flexible goal setting with custom metrics and daily tracking, and includes a Kanban-style board for task management with sprint planning, backlog management, and visual tracking across statuses like In Progress or In Review. A real-time collaborative knowledge base allows multiple users to edit and access documentation simultaneously, and an analytics module captures, stores, and visualizes data within Waymaker’s built-in database to generate real-time insights for managers.

The Result

Waymaker’s rebuild improved how teams plan, execute, and report across the business—by replacing fragmented tools with one unified system. Organizations gained clearer visibility through goal tracking, dashboards, and real-time collaboration, while the knowledge base helped keep documentation current and accessible.

The shift from a unified API to an embedded iPaaS also unlocked more flexible, scalable integrations, improving CRM connectivity and overall usability. As a result, adoption increased and more teams began relying on Waymaker as their primary operations layer.
